SpecuLink Software ("SpecuLink," "we," "us," or "our") is committed to protecting the privacy and security of your information. This Privacy Policy describes how we collect, use, disclose, and safeguard information from home inspectors ("Inspectors"), real estate agents ("Agents"), and home buyers/sellers ("Clients") who use our software platform (the "Service").
By creating an account or using the Service, you agree to the terms of this Privacy Policy.

1. Our Fundamental Data Guarantee SpecuLink does not, and will not, sell, rent, or provide inspector, agent, or client information to any third parties for their own marketing purposes. We are a software-as-a-service provider; our business model is based on software subscriptions, not the monetization of user data.
2. Information We Collect We collect information through three primary channels:
2.1. Inspector Account & Business Data We collect information directly from Inspectors during registration and account management:
- Identity & Contact: Name, email address, phone number, and business address.
- Professional Details: Licensing information, professional certifications, and company branding assets (logos, colors).
- Financial & Identity Data (Stripe Connect): To enable payouts for inspections, we collect and share identity verification documents (e.g., driver’s license, SIN/SSN) and bank account details with our payment processor, Stripe. We do not store full bank account numbers or government IDs on our own servers; they are tokenized and stored by Stripe.
- Calendar Data: If you choose to connect your Google Calendar or Microsoft Outlook, we access your calendar events solely to display your schedule within SpecuLink and sync inspection appointments.
2.2. Report & Inspection Data Inspectors input data regarding properties and individuals to generate reports. We act as a "Data Processor" for this information:
- Client & Agent Information: Names, email addresses, and phone numbers of the Inspector's clients and referring agents (including data imported via bulk CSV uploads).
- Third-Party Contractors: Names and email addresses of contractors inputted by the Inspector or Client when generating Requests for Proposal (RFPs).
- Property Information: Addresses, property details (age, size, systems), and digital photographs (interior/exterior).
- Inspection Findings: Narrative descriptions of conditions, defects, cost estimates, and safety hazards.
- Device Permissions (Hardware Access): With your explicit consent, we access your device's camera, microphone, and photo gallery to allow you to capture photos, videos, and audio notes directly within the Service.
2.3. Technical & Usage Data When you access the Service, we automatically collect:
- Usage Logs: Features used, time spent, pages viewed, and actions taken.
- Device & Connection: IP address, browser type, operating system, and device identifiers.
3. How We Use Your Information We use the collected information for the following purposes:
- Service Delivery: To generate, store, and host digital inspection reports, negotiation addendums, and agreements.
- Transactions: To facilitate payments between Clients and Inspectors via Stripe.
- AI Featurext prompts sent to the AI.
- Calendar Sync: To synchronize your inspection jobs with your personal Google or Outlook Calendar (if enabled).
- Communication: To send automated transaction emails (e.g., Booking Confirmations, Report Links, Review Requests) on the Inspector's behalf.
- Security: To monitor for fraud, unauthorized access, and technical errors.
4. Disclosure of Information (Third Parties) We share information only as necessary to run our service:
4.1. Service Providers (Sub-Processors) We trust the following third parties to perform functions on our behalf. They are contractually obligated to protect your data:
- Google Cloud / Firebase: Hosting, Database, and Authentication services.
- Stripe: Payment processing and identity verification for payouts.
- Google Gemini (Vertex AI): Artificial Intelligence processing for text and image generation/analysis.
- SendGrid / Twilio: Email delivery services.
- Intuit / QuickBooks: Internal accounting and financial record-keeping for SpecuLink operations.
- HubSpot: Customer Relationship Management (CRM) and targeted email communication routing.
4.2. Sharing with Clients, Agents & Third-Party Contractors
The Inspector controls the initial sharing of Report Data. When an Inspector marks a report as "Sent" or "Paid," SpecuLink generates a secure link accessible to the specific Client and/or Agent designated by the Inspector.
Interactive Repair Builder & Cloud Syncing: When a Client or Agent utilizes the Interactive Repair Request Builder or Partner Portal, their selected line items, repair toggles, custom credit requests, and notes are synchronized in real-time via the cloud to enable seamless collaboration between the Client and their designated licensed Real Estate Agent. By clicking "Save & Sync", "Send to Agent", or authorizing an Agent, the Client explicitly consents to sharing these selected choices, custom notes, and repair preferences with their Agent.
Request for Proposal (RFP) & Scope of Work Tool: If the Inspector, Client, or Agent utilizes the Service's RFP or Trade-Splitter features to generate contractor quotes, they explicitly authorize SpecuLink to transmit selected defect data, photos, property address, and client contact information to designated third-party contractor email addresses for the purpose of obtaining repair estimates.
4.3. Legal Requirements We may disclose data if required by law (e.g., a subpoena) or if we believe it is necessary to protect the rights, property, or safety of SpecuLink, our users, or the public.
4.4. Business Transfers (Successor Clause) In the event of a merger, acquisition, or sale of assets, user information may be transferred to the new owning entity. In such an event, your information remains subject to the same privacy protections and promises made in this pre-existing Privacy Policy.
5. International Data Transfers SpecuLink operates primarily in Canada and the United States. You acknowledge that your information may be transferred to, processed, and stored in the United States or other jurisdictions where our service providers (like Google and Stripe) operate. These jurisdictions may have different data protection laws than your jurisdiction of residence.
6. Data Security & Retention
6.1. Security: We implement industry-standard security measures, including SSL/TLS encryption in transit and AES-256 encryption at rest, to protect your data. Access to Inspector data is restricted to authorized personnel and the specific Inspector who owns the account.
6.2. Offline Storage: To enable "Offline Mode" capabilities in areas with poor internet connection, some inspection data, photos, and media may be temporarily cached locally on your device's hard drive or browser storage. This data is synced to our secure servers once an internet connection is re-established.
6.3. Retention:
Account Data: Retained as long as your account is active.
Inspection Data: Retained for a minimum of 7 years to assist Inspectors in meeting standard limitation of liability periods and regulatory record-keeping requirements. Inspectors may request earlier deletion of specific data, subject to legal hold requirements.
Legal Disclaimer & Audit Logs: Digital signature confirmations, typed legal authorizations, disclaimer version locks, IP/session timestamps, and fiduciary acknowledgment records executed inside the Client Portal or Partner Portal are permanently retained in immutable database logs to preserve legal audit trails and verify authorization history.
7. User Rights
- Access & Correction: Inspectors can access and modify their profile and settings directly within the platform.
- Data Portability: Inspectors can download their reports (PDF) at any time.
- Deletion: You may request account deletion at info@speculink.com. Note that some financial records may be retained as required by law.
- Marketing: You may opt-out of marketing emails via the "Unsubscribe" link.
8. Google User Data Policy SpecuLink's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use your Google data solely to provide the calendar synchronization and authentication features you have requested.
9. Changes to this Policy We may update this policy periodically. We will notify you of significant changes via email or a prominent notice within the Service. Your continued use of the Service after the effective date constitutes your acceptance of the updated policy.
